AdmitVista Education Pvt. Ltd. ("AdmitVista", "we", "us", or "our") values your privacy. This Privacy Policy explains what personal data we collect from visitors and clients of admitvista.com and through our admissions consulting services, how we use it, and your rights in relation to it.

This policy is written in compliance with the Digital Personal Data Protection Act, 2023 (the "DPDP Act") of India and applicable provisions of the Information Technology Act, 2000.

We collect information that you voluntarily provide to us, as well as limited technical information collected automatically when you visit our Website.

1.1 Information you provide

  • Contact details — first name, last name, email address, phone number (with country code).
  • Location — country, state, and city.
  • Educational interest — level you are applying for, preferred destination, and any free-text description you submit.
  • Marketing consent status — whether you have opted in to receive marketing communications.
  • Service-engagement data — if you become a Client: academic transcripts, test scores, drafts of essays and statements, recommender details, and other documents necessary to deliver the service.

1.2 Information collected automatically

  • Approximate location — derived from your IP address via ipapi.co, used solely to set the default country dial-code in our enquiry form. Cached locally in your browser for 24 hours.
  • Standard server logs — IP address, browser type, pages visited and timestamps, retained briefly by our hosting provider (Cloudflare) for security and operational purposes.

We do not use third-party advertising cookies, tracking pixels, or analytics tools that profile individuals on our marketing site.

2. How We Use Your Information

We use your information for the following purposes:

  • To respond to your enquiry and arrange a counselling call.
  • To deliver admissions consulting services if you engage us as a Client.
  • To send service-related communications (appointment reminders, deadline reminders, document requests).
  • To send marketing communications via SMS, Email, RCS or WhatsApp only if you have explicitly opted in. You can opt out at any time (see Section 6 below).
  • To comply with legal obligations and to enforce our Terms & Conditions.

3. Lawful Basis for Processing

Under the DPDP Act, we process your personal data on the following grounds:

  • Consent — you provide your information voluntarily by submitting our contact form, and you may withdraw consent at any time.
  • Performance of a contract — to deliver the services you have engaged us for.
  • Legitimate interest — to operate, secure and improve our Website and services.
  • Legal obligation — to comply with applicable laws and regulations.

4. Third Parties We Share Data With

We share the minimum personal data necessary with carefully chosen third-party service providers:

  • Web3Forms (form delivery) — receives your submitted form data and forwards it to our inbox at info@admitvista.com. Web3Forms privacy policy.
  • Cloudflare (hosting & CDN) — serves the Website and may briefly process your IP address for security and routing. Cloudflare privacy policy.
  • ipapi.co (geolocation) — receives your IP address to return your country code, which is used only to set the form's default dial code. ipapi.co privacy policy.
  • Universities, government authorities, and partner education-loan providers — only where you have engaged us as a Client and where disclosure is necessary to deliver the agreed service (e.g. submitting an application or applying for a loan).

We do not sell, rent, or trade your personal data to any third party for their own marketing purposes.

5. Data Retention

We retain your personal data only as long as is necessary for the purposes for which it was collected:

  • Enquiry data (form submissions where no engagement followed) — retained for up to 24 months, after which it is deleted.
  • Client engagement data — retained for 7 years from the end of engagement, to comply with applicable record-keeping obligations.
  • Marketing-consent records — retained for as long as you remain opted in, plus 18 months after you withdraw consent (as evidence of valid prior consent).

6. Your Rights

Under the DPDP Act and other applicable laws, you have the right to:

  • Access the personal data we hold about you.
  • Correct any inaccurate or incomplete data.
  • Delete your personal data, subject to our legal obligations to retain certain records.
  • Withdraw consent for marketing communications at any time.
  • Nominate another individual to exercise these rights on your behalf in the event of your death or incapacity.
  • Lodge a grievance with our Grievance Officer (see Section 9 below).

To unsubscribe from marketing communications, reply STOP to any SMS/WhatsApp from us, click the unsubscribe link in any marketing email, or email us at the address above.

7. Data Security

We use reasonable technical and organisational measures to protect your data, including HTTPS encryption for all Website traffic, encrypted storage of credentials and access keys, restricted internal access on a need-to-know basis, and regular review of our processing partners.

No system is perfectly secure. In the unlikely event of a personal data breach affecting your data, we will notify the Data Protection Board of India and the affected individuals as required by the DPDP Act.

8. Children's Privacy

Our services are intended for users aged 16 and above. For users under the age of 18, we require the consent and active involvement of a parent or legal guardian before processing personal data. We do not knowingly collect data from children under 16. If you believe we have inadvertently done so, please contact us immediately and we will delete the data.
